Wholesale Shipping Policy

Authorized Dealer Orders

Hardwood Distribution supplies SUPERCore Floors and Elk Mountain Hardwoods exclusively to approved showroom dealers and resellers. Shipping arrangements, freight charges, delivery instructions, and shipment claims are coordinated through the purchasing dealer.

We do not sell directly to consumers through this website. Consumers may use our online dealer map to locate an authorized dealer.

Pallet & Cut Orders

We ship full-pallet orders and cut orders. A cut order is a quantity smaller than a full pallet; it does not mean individual flooring planks are cut to size.

Pallet quantities and carton coverage vary by product. Orders are supplied in full cartons unless otherwise specified in writing. Dealers should verify carton quantities, square footage, and any required installation overage before ordering.

Volume Pricing & Incentives

Discounts apply to purchases exceeding one full pallet. Contact Hardwood Distribution for current volume pricing, qualifying quantities, and available incentives.

Pricing and promotions may vary by product, order size, and availability. Volume discounts do not automatically include free freight. Applicable pricing, incentives, and freight charges will be confirmed with your order.

Freight Quotes & Shipping Charges

Freight is quoted according to shipment size, weight, destination, delivery location, and requested services. Quotes are based on the information provided by the purchasing dealer and are subject to carrier availability and current rates.

Dealers must disclose all delivery requirements before shipment, including:

  • Whether the address is commercial, residential, or a jobsite.

  • Availability of a loading dock or suitable forklift.

  • Need for liftgate service or a delivery appointment.

  • Limited-access conditions, restricted receiving hours, or other site limitations.

  • Any requested terminal pickup or special handling.

Services not included in the original quote may result in additional charges. Free or discounted freight applies only when expressly included in the written order confirmation.

Order Processing & Availability

Orders are scheduled for release after order details, payment or approved credit terms, and shipping arrangements have been confirmed.

Inventory availability and anticipated shipping dates are subject to confirmation. Special-order, incoming, or backordered products may require additional lead time. Split shipments must be coordinated in advance and may incur separate freight charges.

Requests to change or cancel an order must be submitted promptly. Changes are subject to approval and may not be possible once an order has been prepared, released, or picked up by the carrier.

Transit Times & Delivery Scheduling

Shipping dates, transit times, and delivery appointments are estimates unless a guaranteed service has been specifically arranged and confirmed in writing.

Carrier delays, weather, terminal operations, and other conditions may affect delivery. Dealers should advise their customers to schedule installation only after the flooring has arrived, been inspected, and met the applicable product’s storage and acclimation requirements.

Delivery & Unloading

The purchasing dealer must ensure that the receiving location can safely accommodate the delivery truck and unload the shipment using appropriate equipment.

Standard freight delivery does not include inside delivery, movement into a showroom or home, unpacking, installation, or removal of packaging. Any additional service must be arranged and confirmed before shipment.

Liftgate service must be requested in advance and is subject to carrier approval. Availability depends on pallet dimensions, weight, equipment limits, and site conditions. Oversized or heavy pallets may require a loading dock or suitable forklift.

The receiving party must be available during the agreed delivery window. Unloading arrangements must be confirmed before dispatch.

Shipments to Customers & Jobsites

Direct shipments to a dealer’s customer or jobsite must be approved and arranged through Hardwood Distribution.

The purchasing dealer remains responsible for providing accurate contact information, confirming site access and unloading arrangements, communicating delivery requirements, and ensuring that someone is available to inspect and receive the shipment.

Direct delivery does not establish a direct retail sale between Hardwood Distribution and the dealer’s customer.

Shipment Inspection & Damage

The receiving party must inspect the shipment upon arrival, verify the product and carton count, and document visible damage or shortages on the delivery receipt before signing.

Photograph the shipment, including any damaged material, packaging, and pallet, and notify Hardwood Distribution promptly at 844-670-6225.

Concealed damage must be reported immediately upon discovery and within the applicable carrier’s reporting requirements. Retain all affected material and packaging for inspection. Do not install damaged material or discard it without instructions.

A notation on the delivery receipt does not replace the need to report the issue and provide supporting documentation. The purchasing dealer must coordinate all shipment claims through Hardwood Distribution.

Missed Deliveries, Refusals & Storage

Refusing a shipment does not cancel the order or authorize a return. Contact Hardwood Distribution before refusing delivery so we can coordinate appropriate instructions.

Charges resulting from missed appointments, unavailable unloading equipment, incorrect addresses, inaccessible locations, delayed pickup, redelivery, or refused shipments are the purchasing dealer’s responsibility unless otherwise agreed in writing.

Requests to hold an order or delay shipment must be arranged in advance. Warehouse or carrier storage charges, if applicable, will be communicated to the dealer.

Terminal & Warehouse Pickup

Terminal or warehouse pickup must be arranged and confirmed in advance. The dealer or designated pickup party must provide a suitable vehicle and the equipment needed to safely transport and secure the shipment.

Verify terminal hours, pickup requirements, and shipment availability before traveling. Inspect and count the material at pickup, and document any visible damage or shortages before signing the release.

Storage After Delivery

Once received, flooring must be protected from weather, moisture, and handling damage and stored according to the applicable product instructions. Freight packaging alone is not intended to protect flooring during outdoor storage.

Related Policies & Dealer Agreements

Returns, refunds, and manufacturing concerns are addressed under our Wholesale Returns & Refunds Policy and the applicable product warranty.

If a separate written dealer agreement or order confirmation contains different shipping terms, those terms govern to the extent of the conflict. This policy does not limit rights or remedies that cannot be excluded under applicable law.
